Privacy Policy
Last updated: 18 October 2026
This policy explains how Pitch Cymru ("we", "us") handles personal information when you use this website. It is written for visitors in Wales and the wider United Kingdom and follows the UK General Data Protection Regulation (UK GDPR) and the Privacy and Electronic Communications Regulations (PECR).
Who operates this website
This website is operated by Pitch Cymru. You can contact the operator about any privacy matter at enquiries@pitchcymu.com.
What information we collect
- Pitch submissions. If you use the "Submit a pitch" form, we collect the organisation and venue details you enter, your contact name and email address, and a technical anti-spam code derived from your internet address. Submissions are stored privately and are never published automatically.
- Emails you send us. If you email us (for example a correction or venue suggestion), we receive your email address and whatever you choose to include in the message.
- Technical information. Our hosting provider keeps standard server logs (such as your IP address and browser type) to keep the site secure and working.
- Analytics information. If you accept analytics cookies, Google Analytics records how the site is used (pages visited, approximate location, device type). Your IP address is anonymised. See the cookies section below.
Searching for pitches, using the map and saving a shortlist happen in your own browser. Your shortlist and map cache are stored on your device only and are not sent to us.
How we use your information and our lawful bases
- Reviewing and responding to pitch submissions and corrections — our legitimate interest in keeping the directory accurate.
- Answering emails you send us — our legitimate interest in responding to enquiries.
- Keeping the site secure (server logs) — our legitimate interest in operating a safe website.
- Understanding how the site is used (Google Analytics) — only with your consent.
- Showing advertising (not currently enabled) — only with your consent, collected through Google's certified consent tool.
Who we share information with
- Google Analytics — only if you accept analytics cookies.
- Google AdSense — advertising is not currently enabled; see the Google advertising section below.
- postcodes.io — when you search by postcode or we look up a venue's location, the postcode or place name is sent to this UK service to find map coordinates. We do not send your name or email.
- Our hosting provider — stores the site and its submission database.
Many venues link to external booking websites. If you follow one of those links, that provider operates under its own privacy policy, not this one.
How long we keep information
These are our current working retention periods; we review them regularly and may update this page if they change:
- Pitch submissions: kept while we review them; removed within 12 months if not added to the directory.
- Emails: kept for up to 24 months so we can refer back to corrections and suggestions.
- Server logs: kept by our hosting provider for a short period (typically up to 30 days).
- Google Analytics data: retained for 14 months, then deleted automatically.
International transfers
Some providers we use (such as Google) process data outside the UK. Where this happens, transfers are covered by safeguards recognised under UK data protection law, such as the UK-US Data Bridge or standard contractual clauses.
Your rights
Under UK GDPR you can ask to see, correct or delete your personal information, object to or restrict how we use it, and withdraw consent at any time (for example via Cookie settings in the footer). To exercise any of these rights, email enquiries@pitchcymu.com.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or by calling 0303 123 1113.
Cookies
We use a small number of cookies and browser storage items, explained in our Cookie Policy. Non-essential cookies only run with your consent, and you can change or withdraw that consent at any time using the Cookie settings link in the footer.
